Something came up and you need to move that session?

Look, we get it. Life happens, things come up. There will always be times when you need to reschedule your Metafy session. Here’s a quick overview from the Student side and from the Pro side.

Students

When you purchase your Metafy lesson, you’re prompted to pick a date and time before you complete checkout. Once you complete payment, your date and time are submitted to your Pro for confirmation. During that limbo state, when your appointment has not yet been accepted by your coach, it's considered pending. It cannot be canceled or rescheduled when it’s in a pending state.

If your Pro doesn’t accept your booking, your purchased lesson goes into a redeemable state. That means you still own it, you just need to pick another date and time and submit it to your coach. Note that if a booking request isn't accepted within 48 hours, it’s automatically converted to redeemable.

If your Pro accepts your booking, your lesson is scheduled. You’re all set, and you’ll get reminders to make sure you don’t miss it.

Here’s the part about Rescheduling: Both redeemable and scheduled bookings can be rescheduled. Simply locate them in your Sessions list and hit the Reschedule button. Please keep in mind that some Pros have rules about last-minute cancellations. It is not possible to cancel a session without rescheduling it, although if a Pro doesn’t accept a rescheduling request, it effectively goes into a canceled state.

Pros

Students are asked to book their sessions at the time of purchase, although in the case of bulk purchases, they are not required to do so. You receive their payment at the time of purchase, regardless of the status of the booking.

Once you receive a booking request, your options are to accept it, which confirms the appointment, or request a reschedule. Technically you can also ignore it for 48 hours, which puts it back into a redeemable state. Your student still owns the session, it’s just not scheduled. Ignoring a booking request is not recommended, because most students will assume you are inactive, if you do so. The best strategy here is to make sure your Availability is set up correctly, get your calendar synced, and accept bookings as quickly as possible.

If you need to Reschedule: Once you’ve accepted a booking appointment, you can click the Reschedule button on the session detail at any time. This triggers a notification that is sent to your student, asking them to reschedule the booking. Because your calendar is synced to Metafy and the student’s is not, scheduling requests must always come from the student side. If you’d like to steer your student toward a specific date and time, message them. Keep in mind that hitting the reschedule button doesn’t cancel the current booking, it just pings your student.

If you just want to Cancel: At Metafy, the term Cancel refers to not just unscheduling a booking, but deleting the purchase completely. Cancel is a function of the Refund flow, which you access through your Pro Studio. Refunding returns a Student’s purchase price in the form of Metafy credits, and Canceling deletes the session from existence. Don’t make the mistake of refunding an unused session without canceling it.

If you really, really want to unschedule a purchase but want your student to still own the session, ask your student to reschedule. When they do so, just let the 48-hour window pass without accepting the booking. The session will go into a redeemable state. Exception: Unless it’s part of an old training plan that was converted in the site update. Those sessions are like middle schoolers: They self-destruct if they’re not accepted.
