Managing your sessions effectively ensures a smooth experience for both you and your learners and audience. Metafy makes it simple to accept or reschedule sessions while keeping your calendar up to date.
Understanding Session Status
Before managing your sessions, it’s helpful to know what each status means:
Confirmed: The session is booked and added to your calendar.
Canceled: The session has been canceled and cannot be rescheduled. Refunded sessions are also marked as canceled. This time slot will become available for other bookings.
Unscheduled: The session hasn’t been booked yet. This usually happens when a session request expires or when a student hasn’t booked a session from a package.
Accepting Sessions
When a student books a session, it will appear in your Tasks list:
Review the session details (date, time, and student).
Click Accept to confirm the session.
The session status will update to Confirmed, and it will appear on your calendar.
Accepting sessions promptly helps students plan ahead and keeps your schedule accurate.
Rescheduling Sessions
If a session needs to be moved to a different time:
Open the session in your Upcoming Sessions list.
Click Reschedule and select a new available time.
The session status will change to Rescheduling, and the student will need to confirm the proposed time. Students can either confirm the new time or request another time that works better for them.
Canceling Sessions
To cancel a session:
Open the session details from your Tasks, Upcoming, or Completed list.
Click Cancel Session and a refund drawer will appear. From here, you can:
Issue a full refund
Issue a partial refund
Cancel without refunding
Once canceled, the status will update to Canceled, and the time slot will reopen for other bookings.
⚠️ Keep in mind: Canceling too often can negatively impact the student experience. Whenever possible, consider rescheduling instead of canceling.
