The Availability section of your Metafy Profile.

You need to set your Availability in order to hold live Metafy sessions. The settings you put in place here will determine what time slots are offered to students when they schedule your time. Your timezone is set based on what you enter in your General Settings, but you can also change it here. The time zone you set here will apply to your availability for bookings, where the General Settings time zone applies site-wide.

AFK Mode

Turning on AFK mode will block students from scheduling any sessions with you. It can be useful if you know you’re going to be unavailable for several days in a row. It’s a good idea to set your AFK period for the number of days you’ll be gone so you don’t have to disable AFK mode manually when you get back.

Automatic Inactivity

If you don't have any student bookings for a span of 45 days, the system automatically applies Inactive status to your account. This means that your profile won't show up in site searches, so that students won't try to book with inactive Pros.

  • Your Metafy profile link will still work, so you can share it to encourage students to purchase coaching.

  • Once you complete a new booking, your account will automatically return to Active status.

  • You will receive an email notification, when your account is at risk of becoming inactive.

Optimized Scheduling

Optimized Scheduling is designed to eliminate wasted time slots in your schedule. It limits the time slots offered to students based on the shortest lesson length you offer. For example, if you only have 1-hour sessions and you’re available starting at 2 p.m., then students will only be able to book lessons at 2 p.m., 3 p.m., 4 p.m., and so forth.

Just slide the toggle, to turn it on.

Weekly Time Slots

This is where you allocate the blocks of time that you will be available to coach each day. Here are some tips for optimizing bookings:

  • Try to set aside a variety of times to account for the fact that your students may come from different time zones and may have different work schedules. It is best to set a general chunk of hours you are available and then fine-tune your availability day-to-day via the Google Calendar sync feature.

  • Be sure that you are actually available during the listed times. Forcing a student to reschedule their session because you were unavailable during an open time slot looks unprofessional and may cause the student to cancel the session and not come back.

Setting Availability Limits

You can set the maximum number of hours you wish to be available on a per day basis. This is useful if you want to allow students to schedule with you between 9am - 5pm, for example, but after X number of hours you are no longer available for that day. You can set custom availability limits for each day of the week.

Minimum Booking Notice

This setting will determine whether Metafy should mark you as unavailable for session times close to the current time. If you are always around during your available hours, set this to 0–1 hours. If you prefer to have more advance notice that a session has been booked, then you should set this to a longer duration.

Your goal should be to set it to whatever it needs to be to ensure that you don’t have sessions that are canceled by Metafy because you didn’t accept them before the scheduled start time. This is a really poor experience for the student and may cause the student to book with someone else, especially if it happens repeatedly.

Maximum Session Duration

If you offer discounts, it’s very likely students will buy lessons from you in bulk. We do not have any hard limits on how they can schedule Live Session hours, so if you leave all durations enabled, a student might try to book a block of back-to-back sessions. If you want to avoid marathon coaching sessions, this is where you can set some limits.

Sync Configuration

Calendar syncing is a core part of what makes scheduling work smoothly on Metafy. Your overall availability determines the possible hours you can be booked. But if you connect your Google Calendar, then you will also be automatically marked as unavailable during any event on your calendar. For example:

  • Suppose you set your availability to 1:00 p.m. to 8:00 p.m. Monday through Friday, but you have a doctor’s appointment on Friday from 2:00–3:00 p.m. If you put that appointment on your Google Calendar, then Metafy will automatically remove that block of time from your availability, leaving you with open slots from 1:00–2:00 p.m. and 3:00–8:00 p.m. on that day.

  • Tip: Keep in mind that the calendar sync feature will only block off the exact times listed on your Google Calendar. So if it takes you 30 minutes to get ready and drive to the doctor, then you might want to have the event on your calendar start 30 minutes before your actual appointment.

Calendar syncing works in the other direction too. It enables Metafy to push all your scheduled bookings to your calendar so that you have an independent way to keep track of all your upcoming Live Sessions, which will come in handy when you’re making plans and scheduling appointments.


Setting Up Unavailable Time

If you are going to be unavailable for bookings for a block of time, you can create a Google Calendar event to set yourself as unavailable during that time.

First, you’ll need to sync your Google Calendar with Metafy. Jump to the Availability section of your Coach Settings, and scroll to Calendar Syncing. From there you can enter your Google account settings, so Metafy can access the events on your Google calendar and set your availability accordingly. Once they’re synced, if you’ve got an event on your Google Calendar, Metafy won’t allow students to schedule your time during that event.

It’s that functionality that will enable you to set unavailable time, above and beyond your Availability settings in your profile. This is useful if you’ve got a vacation planned, or are planning on taking a class, or have some other upcoming short-term commitment.

To block out time:

  1. Use your computer to open Google Calendar.

  2. Click the Create button in the top left.

  3. Create an event that corresponds to your unavailable time, by giving it

    1. A title, and

    2. A date and time (be sure to click All Day as needed).

  4. Expand the More Options button, and make sure Busy is selected, over the description box.

  5. Save.

📣 Our Success Managers have found that all-day events often cause issues with calendar syncing, so it's best to avoid using them for setting unavailable time.
