How to set your hours so students can book your time.

Since sessions with students require both you and the student to be present at the same time, Metafy is set up so that booking your time is intuitive and efficient for students. But that means you need to set up your availability before students start booking your time.

The Booking Flow

To book a lesson with you, a student needs to make arrangements for payment, pick a day and time, and answer the student questions you’ve set up. You will receive a notification and will have 48 hours to confirm the booking. The notification will be delivered based on your Notification Settings, so be sure to set a point of contact that you check frequently.

Setting Your Availability

There are three steps you should take to ensure your available hours are accurate:

  1. Set your general Availability in the Profile settings.

  2. Link your Google Calendar, so Metafy can automatically populate it with your booked sessions.

  3. Be sure to add any non-Metafy events to your Google Calendar to ensure students do not try to book a Live Session with you during those times. Although you can ask them to reschedule, every additional step increases the risk the student will not complete the booking.

📣 If you are going to be unavailable for a while, you can use the AFK Mode toggle to block people from booking, without having to revise your weekly time slots.

Setting availability limits

You can set the maximum number of hours you wish to be available on a per day basis. This is useful if you want to allow students to schedule with you between 9am - 5pm, for example, but after X number of hours you are no longer available for that day. You can set custom availability limits for each day of the week.

Minimums and Maximums

You should also set the minimum lead time for students to book your time, either in days or hours. It establishes how far ahead you need students to schedule their live sessions. If you're on every day, you might prefer it be set to a couple of hours. If you're on less frequently, you may want a couple days’ lead time.

The way it works is, the system will only show time slots that are later than your Minimum Booking Notice. If it's set to two days, for example, the student will only see available time slots that are two days later than the day they’re scheduling their lesson.

The Maximum Session Duration is a tool you can use to limit the number of consecutive hours you’re willing to teach on a given day. This tool will prevent students from scheduling you for, say, eight hours uninterrupted. It offers the option of one, two, and four hours.
